New to Excel - how to handle non-runners?

Hi all. I'm only just dipping my toe into Excel so please bear with me.

The way I am using it is to back and lay in-running using some simple macros within Excel to populate the required cells in the market spreadsheet. eg if I like the look of Horse number 1 then I can back him by pressing 1 on my keyboard rather than having to search the horse out with my mouse in the more traditional fashion.

My questions are;
1) is this the kind of thing that the spreadsheet functionality is designed to facilitate or am I missing a trick?
2) Non-runners are causing me a problem. eg if horse 2 is a NR then horse 3 shifts into the row that should be filled by horse 2 and my macros go wrong. Is there a way to keep a blank row in place when there is a non-runner?

the way i do it is have some code save the runner list as is as soon as the sheet is populated, then you can use index(match). ie instead of calling runner 2, you will call the runner that matches with runner 2 in the index (saved list). hope that helps.
